General summary
Assists and manages gift record processing. Supports the formulating and implementing of policies and procedures for maintaining documentation of private gifts and grants to University foundations and affiliates.
Major duties
- Coordinates and prioritizes the day-to-day processing of gifts, pledges, and other contributions to University foundations and affiliates. Ensures accurate processing, receipting, and reporting.
- Inputs, verifies and maintains source documents using established policies and procedures. Verifies and analyses data to ensure accuracy and resolves inconsistencies and discrepancies in data.
- Reconciles gift records with the University鈥檚 accounting system. Performs the semi-annual transfer of gifts from the University foundation to the University. Assists with preparing reports for the University foundation鈥檚 annual audited financial report.
- Answers phone calls and responds to emails from donors, alumni and University staff to resolve problems with gift records. Performs timely follow-up as needed to resolve discrepancies.
- Assists in developing and implementing policies and procedures. Knowledgeable about federal regulations and global reporting standards.
- Assists with testing database enhancements.
Minimum qualifications

Required education
- Bachelor's degree in related field from an accredited institution.
Required experience
- One year's relevant experience.
- Demonstrated experience in fundraising, sales, marketing, advertising, public relations, business, financial planning, wealth management or estate planning.
- Demonstrated ability to work independently.
- Strong Interpersonal, written and verbal communications skills.
- Ability to work as a team member in a complex organization.
Required other
- Ability to work irregular shifts and extended hours, including evenings and weekends.
Physical requirements
Office or other indoor work with minimal physical demands such as occasionally lifting or moving materials less than 25 pounds.
Working conditions
Work is generally performed in a well-lit, temperature-controlled indoor environment with occasional exposure to the outdoors or any number of elements.
